How do I deal with a bad review on Etsy?

You wait 24 hours, then you reply once, publicly, briefly and warmly, and you write that reply for every future buyer who reads it, because the person who left it has mostly already moved on. That last part changes everything about what goes in the box, and I'll come back to it, but you probably didn't search this question in a calm and curious mood, so let's start where you actually are.

The stomach drop when the notification lands. Reading it 15 times as if the stars might rearrange themselves on the 16th read. I sold handmade for years, quilts and bags I'd cut and sewn myself, and I've had bad reviews on things I'd genuinely poured hours into, and I have absolutely sat up at midnight drafting the reply that corrected her point by point. I am so glad those midnight drafts never got sent. Whatever you write tonight, don't post it tonight.

Should I reply to a bad review on Etsy?

Yes, once, and not today

The 24 hours matters more than anything you'll actually type. A bad review lands like an insult from a stranger, and everything you draft in the first few hours will be a defence, because that's what your body thinks it's doing. Tomorrow you'll be writing a reply. Tonight you'd be writing a rebuttal, and they read completely differently.

The reply gets much easier to write once you see who it's actually for. The person who left the review will probably never look at your shop again. The person who will read your reply, slowly and carefully, is the stranger next month deciding whether to trust you with £40 of her money, because most of us read the bad reviews first when we're deciding whether to buy from a small shop. I do it myself. I skip straight past the wall of lovely ones and go looking for the grumpy one, and what I'm checking was never really the complaint. I'm checking how the seller behaved.

So write to her. Briefly, warmly, once. Something along the lines of: I'm sorry this one disappointed, that's never the aim, and I've messaged you to put it right. Then actually message them, and actually put it right. A replacement, a refund, whatever right looks like for that order, even when it stings, because the reply is a promise made in public and the future buyer is watching whether your shop is the kind that keeps it.

My own first bad review was for something that genuinely wasn't my fault. The order had been lost in the post. I replied the same day, sent a replacement and upgraded the postage to guaranteed delivery so it couldn't happen twice, which is about as close to handling it properly as I could have managed. And I still felt absolutely awful, and I still took it entirely personally, because when you've poured that much of yourself into something a bad review lands on you rather than on Royal Mail. I want to be honest that doing it right does not make the feeling go away. It just means the feeling is the only thing you're left carrying, instead of the feeling plus a mess.

And do not argue the facts, even when you are completely right and can prove it. This is the hardest part and the most important. The future buyer reading that exchange doesn't know either of you, and a seller who wins the argument still loses the reader, because a defensive seller reads worse than a bad review ever did. A long reply proving the customer misread the listing tells her exactly one thing: if something goes wrong with my order, this is what I'll get.

Can I get a bad review removed from Etsy?

Sometimes, and I wouldn't build your recovery on it.

Etsy removes reviews in fairly narrow circumstances. Abusive or harassing content, reviews that break their policies, and in some cases things that were genuinely outside your control. If a review is vile rather than just unhappy, report it, absolutely. But an ordinary bad review, the "quality wasn't what I expected, 2 stars" kind, is almost certainly staying, and every day you spend hoping Etsy will make it disappear is a day you're not doing the thing that actually helps.

What can change is the review itself. A buyer can revise their review, and people genuinely do when a seller fixes the problem properly. The order matters though. Fix it first, completely, with no strings attached, and then if the conversation feels warm you can say you'd be grateful if they'd consider updating the review. Once. If they don't, let it go. Chasing a customer for a better review undoes every bit of goodwill the fix just bought you, and some people update it unprompted anyway, which is the nicest version of this whole story.

Will one bad review ruin my Etsy shop?

No, and I'd like to talk you down from the maths you've probably already done in your head, the one where you worked out exactly how many 5 star reviews it would take to drag your average back up.

Shoppers don't read review pages like calculators. They read them like people. A shop with a warm pile of happy reviews and one grumpy one from someone whose parcel arrived late reads as completely normal, because everyone who has ever bought anything knows that person. If anything, a perfect unbroken record of hundreds of 5 star reviews reads slightly fake, the way a restaurant with only glowing reviews makes you wonder who wrote them. Your one bad review, sitting there with a calm and kind reply underneath it, is quietly doing more selling than you'd believe.

The review feels enormous to you because you know how much of yourself went into the thing she's describing. The buyer scrolling past gives it a few seconds.

How do I stop one review mattering this much?

Now the bigger question, because talking you down from this one doesn't stop the next one landing just as hard.

Notice how much power that single review has over you. It sits on the page that decides whether strangers trust you, you can't delete it, you can't outrun it, and you can't explain it away without making things worse. One person's bad Tuesday gets a permanent say in your income, and that should bother you more than the review does.

But have you considered where that power actually comes from? It comes from strangers on that page being the only audience your shop has. Etsy owns the relationship with every buyer who ever loved your work, so the review page ends up being the entire conversation between you and the people deciding whether to buy. Of course one loud voice in that room feels catastrophic. It's the only room you've got.

Compare that with a buyer who already knows you. Someone who has been on your email list for months, seen the new fabric arrive, watched you try a design that didn't quite work and say so. When she's deciding whether to order again, one grumpy review from 2024 barely registers, the same way you wouldn't drop a friend because a stranger once left her a snotty comment. She already knows what you're like, so the review page hardly comes into it.

That's the slower fix, and the real one. It takes months rather than an evening, and it means showing up in inboxes when you'd rather be sewing, but every buyer you can reach directly is a buyer whose trust doesn't live on a page you can't control.

If you want somewhere to start, the first step is having anywhere at all to reach those buyers, and that's what the Handmade Launch List is, free, and you finish it with a form of your own and the ask already made in public, which is the small unglamorous beginning of a shop whose reputation doesn't live entirely on a page you can't edit.

The review will still be sitting there in a year, and it will matter less and less. The real question is whether your reputation still lives on somebody else's page by then, or with people who already know what you're like
